STEP 2 — Per-trigger ask: Personalised email — reference the moment ('saw your 5-star review' / 'noticed you hit 50 saved prompts'), the warm specific ask (could you spare 5 min to share what worked), the format options (written, voice memo, 5-min Zoom), the privacy reminder.

STEP 3 — Frictionless capture: Multiple format options — single-question form (their words), Loom video upload, audio recording, scheduled call. Different customers prefer different.

STEP 4 — Permission + use rights: Standard release form — what we'll use it for (website, social, ads, sales deck), the right to revoke, the customer's name + role + photo + logo permissions.

STEP 5 — Categorise: Per testimonial — segment, use case, the specific outcome named, the format (written / video / audio). Tag for easy retrieval.

STEP 6 — Use across surfaces: Match testimonials to surfaces — landing page (segment match), sales deck (use case match), case study (deepest stories), social posts (snackable quotes), pitch deck (proof points).

STEP 7 — Refresh cadence: Quarterly — kill stale testimonials, request fresh ones, especially as the product evolves.

OUTPUT: Trigger list + outreach templates + permission form + testimonial library + use-case matrix.
