Write 70-110 words. Direct, warm, no over-apologising. Open with the ask (not 'I just wanted to let you know'). One short reason. Then the 3 alternatives clearly listed. Close with 'pick whichever works — happy to find another option if none of these do'.

Don't say 'sorry for the inconvenience' — too corporate. Plain English.
